Recording Values and Preparing an Insurance Report

1 min read

TIM records owner-provided acquisition and value evidence for an owner-maintained insurance report.

Value fields #

  • Original purchase cost, tax, and shipping.
  • Original MSRP.
  • Estimated value.
  • Current replacement value.
  • Appraised value.
  • Valuation date.
  • Valuation source URL and notes.

TIM selects one report value per unit in this order: appraised value, replacement value, estimated value, then purchase cost. It multiplies the selected value by quantity. A record without any of these values remains unvalued.

Choose the field that matches the evidence. Purchase cost records what was paid. Replacement value estimates a reasonable current replacement. Appraised value should correspond to an appraisal or another qualified valuation. Do not enter an unsupported number merely to clear a warning.

Prepare the report #

  1. Record clear identification, category, scale, quantity, condition, and structured Storage.
  2. Add useful photographs, receipts, appraisals, box labels, serial or road numbers, and valuation notes.
  3. Enter the valuation date and source.
  4. Review Dashboard documentation readiness and value evidence.
  5. Open Reports and download Data completeness audit.
  6. Correct important gaps in the source records.
  7. Download Insurance PDF and Collection summary and valuation.
  8. Open Import & Export, create a portable backup, and store it separately from the physical collection.

The Insurance PDF includes available photographs, identifiers, condition, acquisition details, value basis, per-item totals, and collection totals. Sold, traded, donated, and disposed records are excluded from owned totals.

My-Trains.com and TIM do not appraise a collection or guarantee that an insurer will accept the report. Review documentation requirements with the insurer and update the values and evidence periodically.
