Recording Maintenance and Scheduling Service Reminders

Maintenance Logs provide a dated history of repairs, inspections, DCC programming, modifications, routine maintenance, and important notes.

Adding a maintenance log #

  1. Open Maintenance Logs from the Workbench section.
  2. Select Add maintenance log.
  3. Choose the inventory item.
  4. Select the activity type.
  5. Enter the date and a concise summary.
  6. Add notes describing the work, parts used, settings, symptoms, and result.
  7. Save the log.

You can also add activity from an item detail page. Use specific summaries such as “Cleaned wheels and lubricated drive” rather than “Fixed train.” Record decoder changes, CV adjustments, motor replacements, coupler work, wheelsets, lighting, and observed damage.

Service schedule #

Edit an item and open DCC configuration and maintenance schedule. Enter:

  • Service interval in days.
  • Last service date.
  • Next service due.

When a maintenance log is added, TIM can calculate the next service date from the interval. The Dashboard displays items due now or within 30 days. If a date is not appropriate—for example, an item is serviced by runtime rather than calendar days—leave the interval blank and record service manually.

Filtering the log #

Use the Maintenance Logs filters to locate entries by item, activity type, or date. The history remains associated with the inventory even if the item later becomes sold, traded, donated, or disposed.

Recommended detail #

  • Record the symptom before work and the result afterward.
  • Include part and decoder model numbers.
  • Note lubricants or materials used when relevant.
  • Photograph significant damage or modifications.
  • Attach manuals or diagrams through the item or Reference Library.
  • Do not store passwords, payment details, or unrelated personal information in notes.

A complete maintenance history supports troubleshooting and responsible ownership, but it does not replace the manufacturer’s service instructions.
