Personal and Club Inventories, Roles, and Privacy

TIM separates site-level account safety, inventory ownership, and Club assignment.

Personal inventories #

A Personal inventory is private to its owner and site administrators. Its records do not appear in another collector's inventory.

Club inventories #

A Club inventory is a separate shared collection. Club Managers assign individual members as Viewer, Editor, or Manager without mixing Club records into anyone's Personal inventory.

  • Viewer can inspect the assigned Club inventory but cannot change it.
  • Editor can add and update permitted Club content.
  • Manager can edit the collection and administer that Club's members and settings.

Account Status #

  • Pending approval sees onboarding only and has zero storage or upload capacity.
  • Active can use TIM within the assigned TIM role and inventory permissions.
  • Trusted records a higher-trust account state but does not itself increase storage; the TIM role controls current limits.
  • Suspended cannot use TIM inventories and has zero storage until restored.

These layers are separate. A Club Manager may approve a Club request, but a Pending user still cannot open the inventory until site approval. Signing in does not reveal every Club; the member must be assigned to the exact inventory.

Privacy practices #

  • Confirm the active inventory name and role before adding, importing, using AI, reporting, or exporting.
  • Keep receipts, appraisals, borrower details, storage locations, photos, and backups private.
  • Remove former members promptly.
  • Never share an account, password, API key, or authentication code.
  • Product Catalog facts may be shared sitewide, but ownership, values, protected files, storage, and notes remain in the selected inventory.

If a required Club inventory is missing, ask a Club Manager to review the assignment instead of creating substitute records in a Personal inventory.
